Client Snapshot

A technical community event with multiple stakeholders and limited marketing bandwidth.

The SMPTE Florida Section is a regional chapter of a global professional society serving broadcast and media technology professionals. Its annual Technology Conference brings together engineers, technologists, vendors, and industry leaders for education, networking, and product discovery.

Like many professional associations, the event relies on sponsor support and volunteer leadership. That makes clarity, cadence, and cohesion especially important across promotions, on-site experience, and follow-up.

Snapshot

Three years of compounding improvements.

Challenge

In 2023, the event was approaching quickly while sponsorship sales and attendee ticket momentum were low. Promotions and materials lacked cohesive structure, and there were few systems to consistently communicate value to sponsors and attendees.

Across subsequent years, the challenge shifted from “getting it done” to “making it repeatable”, strengthening sponsor ROI and creating an event experience that matched the technical caliber of the community.

Approach

Maia Interactive helped design and operate a unified event marketing engine spanning web, email, social, on-site touchpoints, and post-event feedback loops. Each year built on the previous one: improving structure, elevating the look and feel, and increasing engagement.

  • Defined promotion cadence and messaging across key timelines.
  • Built a cohesive design system for event materials and sponsor visibility.
  • Introduced engagement and operational tools that increased sponsor and attendee participation.
Year-by-Year Evolution

From rapid intervention to full-scale enablement.

2023: Rapid intervention

Maia was brought in with limited lead time to help improve event momentum. The focus was on clarifying the event story, elevating promotion quality, and activating email and social channels quickly.

2024: Strategic collaboration from the start

Working from the beginning of the planning cycle enabled a more deliberate approach: consistent creative, structured communications cadence, and new community-building assets including the SMPTE Florida LinkedIn Group.

2025: Full-scale event enablement

Maia supported nearly every sponsor and attendee touchpoint: website control and optimization, improvements to program handling, sponsor promotion via regular communications, and new on-site engagement initiatives.

Solution in Detail

Strategy and execution across web, communications, and on-site engagement.

Digital platform & communications engine

We centralized event discovery and conversion through the event website, then supported it with a predictable promotion cadence across email and social. This ensured attendees could find accurate information quickly, while sponsors received consistent visibility throughout the cycle.

Sponsor enablement & attendee participation

We introduced practical programs that increased sponsor interactions and attendee participation on-site, including sponsor-focused engagement initiatives and lead capture improvements to help exhibitors make the most of the event.

Design system & event experience

A cohesive visual system was applied across banners, badges, presentation elements, and promotional assets so the event consistently “looked as organized as it actually was”, reinforcing trust and professionalism.

  • Attendees experienced clearer program navigation and stronger engagement moments on-site.
  • Event promotions improved in perceived quality and consistency across email, web, and social.
  • Organizers benefited from systems that reduced friction and improved repeatability year over year.
  • Post-event feedback created clearer direction for future enhancements.
